Listed below are lots of ways that parents can join in on the fun & volunteer for the PTC throughout the school year!
The President or Co-Presidents are responsible for coordination between the PTC committees, Newman staff, and parents/caregivers. The person(s) in this role should possess leadership, communication and time management skills. Responsibilities include leading PTC meetings, monthly meetings with the school principal and teacher liaison, creating a budget with the Treasurer, and oversees all PTC Committees and activities. The President(s) can attend monthly meetings with the Superintendent. The President supervises, directs, and coordinates the work of the PTC. The President serves as the official contact, communicator and representative of the PTC. There should be a maximum of two PTC Presidents at any given time. The President will serve for a minimum of 2 years.
The Vice President is an ambassador for the PTC. Responsibilities include assisting the President as needed
and accepting responsibilities delegated by the President and/or the Executive Board. The Vice President participates
in Executive Board discussions and decision-making on behalf of the PTC. If the President is absent, the Vice President will perform the duties of the President.
The Accounts Payable Treasurer oversees the cash flow of income and expenses for the PTC. Responsibilities include assisting the President
in the creation of the budget, writing checks to vendors and reimbursement, working with the PTC’s accountant, insurance company, and preparing reports. A person with a financial background is desired and skill with Quickbooks.
The Accounts Receivables Treasurer ensures funds collected from parents and committees are received, accounted for and deposited into the Newman PTC bank account. This position will collect funds after events for tracking and depositing and also in charge of electronic deposits through various outlets. This position also may require acquiring cash from the bank to use at events. This position uses PayPal, Zettle, Venmo, and Google Drive, so familiarity with these applications is a bonus, but otherwise easily learned upon transfer of responsibilities.
The Secretary is responsible for recording minutes and compiling updates from PTC meetings and then distributes minutes to parents. The Secretary should retain records of the minutes.
The Fundraising Chair(s) would work with the President to create ideas for parent/caregiver donations. Additionally, they send out thank you letters and donation receipts. They will work to secure donations from local businesses for events, and explore additional opportunities to raise money for the PTC. Lastly, they may work to create kick-back events with local businesses in accordance with NPS guidelines.
Room Parent Coordinator(s) work with room parents of teacher’s classrooms. They are there to help answer questions of room parents, nurture community engagement and help with the selection of room parents. The Room Parent Coordinator will help send out emails regarding grade specific events or information. The Room Parent Coordinator offers suggestions for teacher surveys sent out at the beginning of the school year.
Room Parents are parents/caregivers that sign up to be a representative of the class their child is assigned to. Room Parents will help their teacher and the PTC send out any emails to other parents/caregivers in that classroom. Room parents utilize emails found in the directory and send to all contacts listed for that classroom. Other responsibilities may include collecting funds and organizing a class gift. Up to two people can represent a classroom.
The Communications person will send bi-monthly, electronic newsletters to those who are subscribed. This role will helps develop strategies to properly market PTC events via social media outlets (Facebook, Instagram, etc) and emails. This role uses MailChimp.
Curriculum Grants chair(s) is responsible for overseeing the curriculum grants committee and communicating with Newman teachers/staff. This position is responsible for collecting teacher/staff requests, then sending out to committee members, and tallying votes to approve requested items or services. The chair is responsible for recruiting parent/caregiver volunteers to ensure there is adequate representation of all the elementary school grades.
Parents will work with a specific teacher representative for each grade (kindergarten through 5th grade) to help plan guest speakers and field trips. All planned events must adhere to NPS guidelines and events should align with the grade’s curriculum. Parents interested should have children in their respective grade they are planning for.
The 5th Grade Committee sets and plans their meetings for the year, prepares an agenda for each meeting, and assigns committee members to a variety of roles and events that are part of the 5th grade year at Newman. It is at the discretion of the committee, but there are usually typical activities, such as early release day excursions to Launch, an ice cream party, a talent show, creating T-shirts, and more. The 5th Grade Committee also helps collect yearbook photos because a large portion of the yearbook is focused on 5th Grade.
The Hospitality Committee hosts staff appreciation lunches and other events that may come up through the year. Duties include ordering and delivering of food, setting up and clean up. Parent volunteers should expect to be available during the day to help with efforts.
The Yearbook Committee is a group of parents/caregivers that oversee the design, ordering and delivery of Newman’s annual Yearbook. Parents will also need to visit during the school day to take pictures of students at recess.
The DEI Committee celebrates diversity of all kinds and promotes inclusive practices for students, families, and staff throughout the entire Newman Elementary School community. The committee will work directly with the Principal to create events that align with goals of the school.
The Committee is a group of parents/caregivers that vote on teacher/staff requests for grants. The committee communicates via email, and they ask questions and vote to approve or deny grants. Committee members should have representation for each grade.
The Sign Coordinator will keep the changeable letter sign outside of Newman Elementary School up-to-date with important PTC information. The Sign Coordinator must effectively communicate with the President and other committee members to stay in-the-know of all PTC happenings. The Sign Coordinator must be creative, as space on the sign is limited. The Sign Coordinator will be provided with a full set of changeable letters, numbers and punctuation marks.
The New Family Coordinator focuses on integrating new families to Newman. This person plans events for kindergarten families and is available to meet with families to discuss any questions of a new school.
The Community Service Committee decides on what community service projects to complete throughout the school year. The committee decides how the Newman community is going to serve in specific projects, and organizes sign ups to recruit volunteers. The committee runs all ideas by a Newman teacher liaison.
Parents/caregivers are asked to volunteer each year in the Newman media center during their child’s assigned media time (60 minutes). Duties include checking in and out books, shelving books and small projects associated with the library.
The Website and Directory Coordinators maintain and update the content for the PTC website. This includes making sure it is running smoothly and all accounts are up-to-date. Updates for events are created as needed and content is updated on occasion. The directory is updated annually with small changes throughout the year as needed.
Parents/caregivers are willing to help plan and coordinate an event for parents or families. Activities can vary year to year based on community needs and budget.
This person helps to coordinate days to encourage students to walk or bike to school.
